Services / Automation

Sales & CRM automation.Less admin. A pipeline you can trust.

We capture every enquiry and route it to an owner, remove the re-typing that eats seller time, and turn real deal behaviour into pipeline signals and quotes that reach the right approver. Sellers keep the judgement. The system keeps the record.

See how it works

Baselines first. Drafts reviewed. Nothing discarded silently.

The business case

A CRM that costs sellers hours is a CRM nobody fills in.

When updating the record is expensive, the record goes stale, the forecast becomes guesswork and the pipeline review turns into a debate about whose number is real. We make the record cheap to keep, then build the signals on top of data that is actually there.

When this service fits

Leads arriving from many channels, sellers spending real hours on CRM admin, a pipeline review nobody believes, or signed deals whose scope never reaches delivery and billing intact.

When something else fits better

If the sales process is not defined yet, start with the process audit. If the CRM is about to be replaced, decide that first. We will tell you when automation is the wrong next step.

Where this applies

Six revenue workflows. The same evidence discipline.

These are example situations, not pre-packaged promises or claims about past results.

Enquiries that wait for someone to notice

Capture leads from email, forms, chat, WhatsApp and portals, de-duplicate them against the CRM, and route each one to a named owner with its context attached.

Learn: how long does a qualified enquiry wait before anyone replies?

Deal admin eating seller time

Turn meetings, emails and calls into structured CRM records, so sellers stop writing the same update twice and the pipeline reflects what actually happened.

Learn: how many hours a week does each seller spend on CRM admin?

Pipeline reviews nobody trusts

Define stage exit criteria, required fields and health signals from real deal history, so the review discusses evidence rather than opinions.

Learn: how often does the forecast move without anyone being able to say why?

Proposals, quotes and approvals that stall

Assemble quotes from approved products and rates, route discounts and non-standard terms for approval, and track exactly what is waiting on whom.

Learn: how many quotes are outstanding today, and who owes the next step?

Handoffs to delivery and finance that leak

Carry the signed deal's scope, terms, contacts and commitments into delivery, project and billing systems without anyone re-keying them.

Learn: what goes missing between the signature and the first delivery meeting?

Renewals and accounts nobody owns

Track contract end dates, usage signals and support history, and produce an account queue with a named owner and a next step for each relationship.

Learn: how much recurring revenue renews in the next 90 days?

How the work flows

Captured once, qualified, then moved stage by stage.

Enquiries enter from every channel and are qualified against what you already have. Qualified deals move through stages with evidence at each gate; stalled ones go to a nurture queue that feeds back in; a won deal is handed to delivery and billing with its terms intact.

What we always include

Baseline measures before build, routing rules your team can read and change, a human checkpoint before anything reaches a customer, and a runbook with named owners.

What we keep out

Silently discarded leads, outbound messages sent without approval, discounts applied without a decision-maker, and dashboards built on records nobody maintains.

Groundwork

The CRM is your process. We look at what it actually records.

Before anything is automated, we look at how deals really move: what sellers record, what they skip, and where the useful information lives outside the CRM. That decides what automation can honestly do.

Pipeline and stage review

Stage definitions, exit criteria, typical cycle times and where deals stall, compared between what the process says and what the data shows.

Data and integration map

What the CRM holds, what it is missing, and which systems sit around it: email, calendar, calling, forms, billing, delivery tools and spreadsheets.

Seller time study

Where the hours go between finding, preparing, updating and chasing, sampled with the sellers themselves rather than guessed from a process document.

Baseline before any build

Response times, stage conversion, cycle times, forecast accuracy, quote turnaround and renewal rates, measured now so results can be compared later.

Capture & qualification

Every enquiry gets an owner and a next step.

Leads are captured once, matched against what you already have, and routed by rules your team can read and change.

Source capture

Forms, inbound email, chat, WhatsApp, event lists and portal sign-ups written into one place with their source and full history preserved.

De-duplication and enrichment

Matching against existing accounts and contacts before creating new ones, with company and role data added where a source you approve provides it.

Routing and ownership

Assignment by territory, segment, product fit and current workload, with escalation when an owner does not act inside the agreed window.

Scoring as a queue, not a verdict

Signals that order the work and say what is missing, rather than silently discarding an enquiry. Anything uncertain reaches a person, not a bin.

Seller work, simplified

Less re-typing. Better context at the point of decision.

The aim is fewer clicks per deal and a seller who arrives at a meeting already knowing the history.

Activity capture

Emails, meetings, calls and notes linked to the right account and deal automatically, with the seller confirming rather than creating the record.

Summaries with review

Call and meeting notes turned into a short summary, decisions and follow-up commitments that a seller approves before they are saved or sent.

Quote and proposal assembly

Documents built from approved products, rates and templates, so the numbers match what the business can actually deliver and bill.

Next steps that arrive on time

Reminders, follow-up drafts and task queues ordered by what is at risk, so nothing depends on one person's memory.

Pipeline truth & forecasting

Health signals from real deal behaviour.

Forecasting improves when the underlying records are honest and the signals come from what happened, not from how the deal feels today.

Stage exit criteria

Each stage requires named evidence to move forward, so a deal cannot sit in 'proposal' because nobody noticed it stalled three weeks ago.

Deal health signals

Activity gaps, missing decision-makers, stale dates, discount drift and unreturned commitments surfaced on the deal, not discovered in the review.

Forecast with stated assumptions

Weighted views built from stage history and current signals, with the assumptions shown so leadership can see what the number depends on.

Management reporting

The same definitions used by every report: response times, conversion, cycle time, win reasons and losses, joined back to source records.

Handoff, renewals & accountability

The relationship does not end at signature.

The same records that won the deal carry it into delivery and then into renewal, with ownership attached at every step.

Deal-to-delivery handoff

Scope, agreed terms, contacts and commitments passed into project and delivery systems on signature, with the handoff confirmed rather than assumed.

Contract and renewal tracking

End dates, notice periods, price changes and owners tracked from the deal record, with renewal work starting on a schedule instead of at the deadline.

Account plans and usage signals

Product usage, support history and expansion signals pulled together per account so the conversation is grounded in what the customer is doing.

Service and escalation queue

A clear path for a customer who needs help now, with the deal and delivery history visible to whoever picks it up.

Tools & platforms

We work inside the CRM you have.

These are the platforms we typically assess, not a list you must adopt. Where a platform's API blocks a design, we say so before anything is promised.

Delivery approach

One flow live, then the next.

We build capture, routing and activity flows first and run them alongside your current process on real deals before switching over. Findings are shared as they emerge, so there are no surprises at rollout.

  1. 01

    Scope and rules

Agree the stages and processes in scope, the systems we may access, the rules that must never be automated, and the baseline figures to measure against.

Output: Scope note, automation rules list and baseline measures

  2. 02

    Discovery

Shadow sellers and revenue operations, review CRM data quality and integrations, and walk real deals from first enquiry to invoice.

Output: Current-state map, data quality findings and opportunity list

  3. 03

    Automation design

Decide what is captured, routed and drafted automatically, where a person approves, and how the pipeline and forecast signals are calculated.

Output: Design note with routing rules, approval points and metric definitions

  4. 04

    Build and parallel run

Build capture, routing, activity, quoting and handoff flows, then run them alongside your current process on real deals with every gap reviewed.

Output: Working flows, parallel-run results and corrected data rules

  5. 05

    Rollout, training and handover

Phase the rollout by team, train the people who will live with it, and hand over the runbook, dashboards and ownership.

Output: Live flows, trained owners, runbook and reporting pack

What your team brings

A revenue owner who can settle stage definitions and routing rules, access to the CRM and mail systems, and a few sellers willing to test the flows on real deals.

Decisions without surprises

Scope, access and the rules that must never be automated are agreed in writing before build. Every routing rule and metric definition is written down so you can change it and see what moves.

What you receive

Running flows, honest data, owned processes.

Everything is delivered so your team can change it without us, and so the numbers hold up in a board meeting.

Captured and routed enquiries

Leads from every channel in one place, de-duplicated, enriched and assigned, with response times tracked and escalation on silence.

Structured pipeline data

Deals with the evidence each stage requires, health signals on the record itself, and a forecast that shows what it assumes.

Sellers' admin removed

Activity recorded without re-typing, drafts and summaries prepared for approval, and quotes assembled from approved rates.

Deal-to-delivery and billing handoff

Signed scope, terms and contacts passed into delivery and billing on signature, confirmed rather than chased.

Runbook and trained owners

How each flow works, how to change a routing rule or stage definition, how to recover a failed run and who owns what.

We are not a sales consultancy and we do not take commission. The systems are built to your process; your revenue leaders stay accountable for the pipeline.

Questions before starting

The practical details.

Will this replace our sellers?

No. It removes the capture, admin and chasing around the sale. Talking to customers, judging a deal and negotiating stay with people, and the design is measured on how much seller time it gives back.

Do you guarantee more pipeline or revenue?

No. We agree baselines first and report what we actually move: response time, stage conversion, cycle time, quote turnaround and forecast accuracy. Whether that becomes revenue depends on your market and your team.

Will AI email our customers on its own?

By default it drafts and summarises for a person to approve. Anything sent outbound without review is a decision you make explicitly, per flow, and we tell you what could go wrong before you make it.

Which CRMs do you work with?

HubSpot, Salesforce, Microsoft Dynamics 365, Pipedrive, Zoho and similar platforms where the API allows, plus exports where it does not. If a platform genuinely blocks the design, we say so before you commit.

What happens to our customer data?

Access is minimised and approved, personal data is handled under your privacy commitments, and nothing is sent to a third-party AI service without your approval. Self-hosted models are an option where that is a requirement.

How long until something is live?

Capture, de-duplication and routing often run in production within weeks. Honest pipeline signals and forecasting take longer because they depend on data quality and several months of history.

Can you fix our CRM data first?

Data quality work is part of the job: duplicates merged with review, missing owners and stages filled, fields made meaningful. We will not build automation on a record set nobody trusts.

What if our sales process is not defined yet?

Then start with the process audit rather than automation. Automating an undefined pipeline gives you faster disagreement about what a stage means.
